When a triplette of three players queues together with one captain holding three licenses, a manual check involves typing three license numbers, looking up three federation records and signing three slips. Multiplied across 200 teams that is the difference between a 30-minute queue and a 2-hour queue.

A QR scan flow lets the captain present three QR codes and the official confirms the team in one gesture, freeing the queue and reducing the temptation to skip checks under pressure.

Each license carries a signed QR code that the official scans from the player app or printed card. Team check-in batches three or four scans into a single confirmation with team status, court and start time displayed.

Scans work offline with later sync; duplicates and revoked licenses are blocked at scan time.

License problems — expired, suspended, transferred mid-season, paid but not synced — appear at the desk and have to be resolved before the player can play. Without a guided flow the official either lets the player through (creating an insurance gap) or sends them away (creating a complaint).

Clear status indicators and a structured resolution path let the official handle the issue while the player waits, with a paper trail the federation can accept.

Each scan returns a status badge — valid, expired, suspended, pending — with the federation record date stamp and the player's category. Issues launch a resolution wizard: pay-on-the-spot for unpaid licenses, contact federation for suspensions, accept temporary license with director approval.

Every decision is logged with the official's identity and a federation-acceptable reason code.

Entry fees, late fees and licence top-ups are collected at the desk, often by card, Swish, BLIK or local mobile-money. Manual receipts, a separate card terminal and an end-of-day cash count are slow and error-prone, and reconciliation drags on for days.

The official needs a payment flow that takes the money, prints the receipt and updates the event ledger in one action, with refunds equally straightforward when a withdrawal is accepted.

The check-in app integrates the country's preferred payment rails (card terminal, Swish, BLIK, SEPA, cash) and posts each transaction to the event ledger in real time with player and team context. Receipts print to the desk thermal printer or send by email.

Refunds reverse the same way with audit; the day's reconciliation is a single export ready for the federation accounts.
